Privacy Policy

Kovan: Pet Health ("Kovan", "we", "us") is an iPhone app that helps pet owners manage veterinary health records using AI-powered document scanning. Your privacy matters to us.

1. What we collect

• Account information — you can use Kovan without registering. The app creates an anonymous account tied to a device identifier we generate, containing no personal details. If you choose to register, we also store your email address, name, and authentication credentials (or an Apple/Google identity token for social sign-in).
• Pet profiles — name, species, breed, date of birth, weight, microchip number, and any emergency details you add
• Veterinary documents — photos and files of vet records you upload for AI analysis
• Health data — vaccinations, lab results, visit records, treatment plans, and weight entries extracted from your documents
• Device information — push notification tokens, device type, app version
• Usage data — product analytics, collected only if you opt in (see section 5)
• Diagnostic data — crash reports and error diagnostics, so we can fix what breaks

2. How we use your data

• Provide and maintain the Kovan app and its features
• Process veterinary documents using AI (OpenAI API) to extract health records
• Send push notifications about vaccination reminders, treatment schedules, and health insights
• Generate your pet's emergency QR page, if you enable it
• Diagnose crashes and improve the app

3. AI document processing

When you upload a veterinary document, we send the image to the OpenAI API for analysis. The AI extracts structured health data (vaccinations, diagnoses, lab values) which is stored in your account. OpenAI does not use API data to train their models, and does not retain it. Document images themselves are stored on EU-based servers (Hetzner, Germany).

4. Data storage and location

• Database — hosted on EU servers (Hetzner, Germany)
• Document storage — Hetzner Object Storage, EU (Germany)
• AI processing — OpenAI API (images sent for processing, not retained, not used for training)
• Analytics — Mixpanel, EU data residency. Only if you opt in.
• Crash and error reporting — Sentry
• Subscriptions — managed by RevenueCat; purchase data processed by Apple

5. Analytics and tracking

Analytics is off by default. We collect no product analytics until you explicitly consent. You can withdraw consent at any time in the app under More → Privacy & Data, and we will stop collecting and delete your analytics profile.

Kovan does not track you across other companies' apps or websites. We do not use advertising identifiers (no IDFA), we show no ads, and we do not sell or share your data with data brokers.

6. Emergency QR page

Each pet can have a unique QR code that links to a public emergency page. This page displays your pet's name, species, breed, age, vaccination status, allergies, medications, blood type, handling notes, and the contact details you provide. Anyone who scans the QR code can view this page without authentication — that is the point of it, but it means you should think about where you display the code. You can disable the page for any pet at any time, and we notify you when it is scanned.

7. Data sharing

We do not sell your personal data. We share data only with the processors we need to run the service:

• OpenAI — document images, for AI processing
• Hetzner — infrastructure and document hosting (Germany)
• Apple — in-app purchase processing and Sign in with Apple
• Google — Sign in with Google, if you use it
• RevenueCat — subscription management
• Mixpanel — product analytics, only if you opt in
• Sentry — crash and error diagnostics

8. Your rights (GDPR)

Under EU data protection law, you have the right to:

• Access — request a copy of all your data
• Rectification — correct inaccurate data via the app
• Erasure — delete your account and all associated data from within the app (More → Privacy & Data → Delete account)
• Portability — request your data in a machine-readable format by emailing us
• Object — opt out of analytics at any time
• Restrict processing — request limitation of data processing

Account deletion is permanent and immediate. Your pets, documents, document images, health records, subscription record and analytics profile are removed from our systems and those of our processors.

9. Data retention

• Active accounts — data retained while your account exists
• Deleted accounts — all data permanently deleted immediately

10. Children

Kovan is not directed at children under 16. We do not knowingly collect data from children.

11. Push notifications

We send notifications for vaccination reminders, treatment schedules, health insights, and QR scan alerts. You can disable them in your device settings at any time.

12. Changes to this policy

We may update this privacy policy from time to time. We will notify you of significant changes via the app or email.
